Now comes the bit everyone secretly dreads: asking people to chip in. 

You don’t want to sound pushy. You don’t want to spam people. You definitely don’t want to end up out of pocket. The good news? A clear, friendly message (and one simple link) does most of the work for you. 

Here are ready‑made messages you can drop straight into Slack, Teams, email and WhatsApp. 

A few ground rules before you hit send

Whatever channel you're using, keep these in mind:

  • Be clear who it’s for and when they’re leaving. 
  • Make contributions optional. Say explicitly that people can just leave a message if that’s easier.
  • Include the link once, cleanly. No huge paragraphs of URLs. 
  • Give a closing date. People are more likely to act when there’s a simple “by [date]”. 
  • Limit yourself to one invite and one reminder. You’re organising, not nagging.
